With RosterBot, finding and asking players to be a Spare is a fully-automated process which can save managers a lot of time, hair-pulling and, possibly, money.
Let’s go through how to customize the Sportgo Lite Spare Assistant to your team's needs.
Setting your Spares
If you haven’t already filled out your Roster, you will need to do that step first.
After you have created your team’s roster, you can select a Class for your teammates, either Full-time or Spare.
A ‘Full-Time’ player is just that; a person who is on the team full-time and they will be invited to every game.
A ‘Spare’ player is a person who is only invited to your games when too few of your ‘Full-Time’ players RSVP saying they are in.
Turn On Spare List
To enable the Spare List you must first select the ‘Configure’ tab.
Scroll down the Configure page and you will see the Event Defaults which are applied to all future created events.
Toggle the Spares to ON. You can also adjust the schedule for when you players will be invited via this page.
Set Your Maximum and Minimum Number of Players
The maximum number of players is the most amount of players you want for your event, while the minimum is the fewest amount of players that you can have in order to field a team. The maximum will restrict how many players can RSVP for your game, so if you set it to 15, the 16th person that tries to RSVP will be unable to.
On the other hand, if you are managing a baseball team, for example, the minimum number of players you can play with is 9, so you would set your minimum to 9.
You can adjust your event’s minimum or maximum numbers via the Position tab and these will be applied to all your future events.
If you have an event which requires a different number of players, no problem! Just click the Edit Event button on that specific Event’s page and open the Advanced Settings.
Set Your Invite Schedule
Sportgo Lite will invite ‘Full-Time’ players before it asks your ‘Spares’ to play.
By default, Sportgo Lite invites your ‘Full-Timers’ 3 days in advance (see above).
If your Full-Timers haven't filled the minimum number of players required by the time your Spares are scheduled to be invited, RosterBot will invite your Spares.
If your Full-Timers have reached the minimum number of players for your event before the Spares are scheduled to be invited, RosterBot will not invite your Spares.
*IMPORTANT NOTE* – Once your ‘Spare’ list has been invited, there is no difference between a player who’s registered as ‘Full-Time’ and ‘Spare’. This means that once the spots have been filled by a ‘Spare’, that person has that spot reserved, even if a ‘Full-Time’ player says they are ‘IN’ later on.
Think of the ‘Spare’ Invitation as a race to fill the remaining spot with a ‘First-Come-First-Serve’ mentality. So it’s important to emphasize to your ‘Full-Time’ players that due to their advance notice invitations it’s important they RSVP when they know if they are ‘IN’ or ‘OUT’.
Inviting Specific Spares
If you would like to invite specific people on your ‘Spare’ list ahead of others – not a problem.
You will need to head to the specific event which you would like to invite these people to.
Beneath the red X, you can see the (Invite) text. Clicking this will send an invitation to this specific player on your team, whether they are a Spare or not.
